SSA 2019 Summer Youth Internship Program

The Alameda County Social Services Agency (SSA) is currently inviting applications for a limited number of paid summer internship positions in several of its departments. Interns will experience firsthand what it's like to work in a fast-paced public assistance agency and play a valuable role in supporting our mission of serving local communities in need. This is an excellent opportunity for students who are looking to explore career options, develop their skills, and grow professionally.

Internships will run from Monday, June 17 through Friday, August 9, 2019.

Application Process

Criteria for candidates:

  • Must be entering their senior year of high school or enrolled in a community college or undergraduate program for the upcoming 2019-2020 school year;
  • Must not have participated more than once previously with the SSA Summer Youth Internship Program;
  • Have at least 6 months of paid or unpaid experience related to the position(s) for which they are applying; AND
  • Available for the duration of the 8-week program (with limited exceptions)

Applications will be reviewed by the SSA Office of Public Affairs. Based on the quality of the written application and information provided regarding strength of interest, relevant skills and experience, the most qualified candidates will be invited for an interview. Interviews will tentatively take place between April 15-23. Students attending school more than 50 miles away from Oakland will be given the option of a virtual interview.

To complete the hiring process, selected interns will be asked to:

  • Provide a photo ID and Social Security card;
  • Undergo a LiveScan fingerprint background check (this will be free of charge to the intern, but must be completed at the designated office location);
  • Complete additional personnel and medical paperwork;
  • Submit an approved work permit if he/she is a minor and has not yet graduated from high school; AND
  • Provide proof of valid California Motor Vehicle Operator's license and a current DMV Printout if the position requires driving.

Failure to complete these pre-employment requirements in a timely manner will lead to termination from the internship program.


Intern Opportunities

All positions will be paid at a rate of $15.00 per hour. Please review the positions below. On the application form, indicate the position(s) for which you would like to be considered. Please note that the number and location of positions may change depending on site/program needs.

 

Division of Aging and Adult Protection (DAAP) Intern

1 position available

Location: Eastmont Town Center, 6955 Foothill Blvd, Suite 300 (3rd floor), Oakland 94605. Nearest BART is Coliseum BART then take AC Transit line 73, or interns may use free County shuttle. Free parking lot on site.

Duties: Research projects relevant to program development and service delivery to older adult populations. Assist clients in coordinating and attending appointments for benefits/medical care. Assist staff/clients in collecting/obtaining necessary paperwork for client benefits. Assist with clerical functions such as faxing, filing, data entry, maintaining logs, etc. Provide direct assistance to clients in obtaining needed goods and services.

Desired qualifications: Must be over the age of 18 and entering either junior or senior year of college in 2019-20 school year. Must have valid California's Driver's License, automobile insurance, and reliable access to a vehicle. Proficient with Microsoft Office Suite, able to communicate effectively and professionally, comfortable working in the community with vulnerable populations. May be required to accompany DAAP staff on home visits.

Scheduling: 37.5 hours weekly, Monday through Friday, 8:30 am-5:00 pm.

 

General Accounting and Assistance Payments Assistant

1 position available

Locations: 1111 Jackson St. Oakland, CA 94604. Walk or take free County employee shuttle from Lake Merritt BART.

Duties: Assist General Accounting Unit in processing journal vouchers, inter-departmental charges, revenues, trust funds, deposits, reconciliation of accounts, and prepare fiscal reports to Federal, State and County. Assist the Assistance Payments Unit in processing Assistance payment requests, reviewing request documents, and inputting into Alcolink system.

Desired qualifications: Experience with Microsoft Excel, Word, Outlook, and PowerPoint.

Scheduling: Depending on intern availability and up to 37.5 hours weekly, to be scheduled between Monday-Friday 8:30 am-4:30 pm.

 

Policy Fellow / Data Analyst Assistant

2 positions available

Location: Thomas L. Berkley Self-Sufficiency Center, 2000 San Pablo Ave, Oakland 94612. 10-minute walk from 19th St. BART and near several AC Transit lines.

Duties: Data entry and analysis; agenda planning, meeting preparation, and note-taking; survey creation; Internet research, including policy research and legislative tracking; drafting, designing, and editing reports and infographics; event planning/coordination; networking with community partners.

Desired qualifications: Basic computer skills; ability and willingness to learn Microsoft software (Outlook, Word, Excel, Internet Explorer, PowerPoint) as well as web-based tools (EventBrite).

Scheduling: Up to 37.5 hours weekly (7.5 hours daily, between Monday-Friday)

 

Public Affairs Office Assistant

2 positions available

Location: Thomas L. Berkley Self-Sufficiency Center, 2000 San Pablo Ave, Oakland 94612. 10-minute walk from 19th St. BART and near several AC Transit lines.

Duties: Filing, scanning, and purging documents; data entry; photocopying; organizing/packing supplies; message transcription; web research; and other clerical support as needed for the Office of Public Affairs' various programs, including Season of Sharing and Client Concerns.

Desired qualifications: Software skills: MS Outlook, Internet Explorer, Word. Basic data entry skills (MS Excel). Familiarity with general office equipment (photocopiers and scanners).

Scheduling: 25 to 37.5 hours weekly, scheduled between Monday-Friday, 8:30 am-5:00 pm.

 

Special Project Clerk (In-Home Supportive Services)

8 positions available

Location: Eastmont Town Center, 6955 Foothill Blvd, Suite 300 (3rd floor), Oakland 94605. Nearest BART is Coliseum BART then take AC Transit line 73, or interns may use free County shuttle. Free parking lot on site.

Duties: Will vary depending on department operational needs. Front lobby waiting room: greet customers; provide assistance with Q-Matic ticketing and document submission kiosks; help facilitate orientation groups by giving directions and distributing information. Assist with IHSS call center by providing quality customer service, resolving recipient and client requests/concerns, and directing calls to appropriate staff. Process and scan vital IHSS recipient & provider documents in a timely manner; update CNIPS II database; complete tracking reports/logs; and contact providers, recipients, and other Counties. Assist with other clerical tasks or projects as needed.

Desired qualifications: Confidence in interacting with diverse clientele, strong customer service skills, cultural and social sensitivity, and ability to maintain confidentiality. Knowledge of general office practices, equipment, business correspondence. Experience with or ability to learn to use a multi-line telephone system. Ability to perform general clerical work (typing, filing), screen telephone calls, and take accurate messages. Bilingual skills highly desirable. Light lifting of data/file boxes may be required at times.

Scheduling: 37.5 hours weekly, Monday-Friday, 8:30 am-5:00 pm

 

Special Project Clerk (Workforce & Benefits Administration)

5 positions available

Locations: Interns will be assigned to one of 3 locations:

  • Eastmont Self-Sufficiency Center: 6955 Foothill Blvd, Suite 100, Oakland 94605. Nearest BART is Coliseum BART then take AC Transit line 73, or interns may use free County shuttle. Free parking lot on site.
  • Eden Area Multi-Service Center: 24100 Amador St, Hayward 94544. Accessible by Hayward BART. Interns are eligible to use the free County shuttle. Paid lot on site.
  • Fremont Office: 39155 Liberty St Ste C330. Located 0.6 miles from Fremont BART. Free parking lot on site.

Duties: Interns will help deliver a high standard of service to customers at our Self-Sufficiency Centers. Job functions may include but are not limited to answering general inquiries; assisting customers with utilizing kiosk terminals to obtain service tickets, submit documents, and request benefits cards; helping customers to complete forms through MyBenefits CalWIN website; and referring potential special accommodation needs to the clerical supervisor. Interns may also support mailroom and clerical operations by stamping, sorting, filing, and distributing mail; maintaining supplies; and providing backup for Index Operators. Additional duties may be assigned depending on site needs.

Summer Lunch Program Assistant (Office of Public Affairs)

4 positions available

Locations:

  • Eastmont Self-Sufficiency Center: 6955 Foothill Blvd, Suite 100,Oakland 94605. Nearest BART is Coliseum BART then take AC Transit line 73, or interns may use free County shuttle. Free parking lot on site.
  • Eden Area Multi-Service Center: 24100 Amador St, Hayward 94544. Accessible by Hayward BART. Interns are eligible to use the free County shuttle. Paid lot on site.

Duties: Interns will support operations for the Agency's free summer lunch program for kids, including receiving meal delivery, distributing promotional program materials to waiting room customers, greeting participants, distributing meals, monitoring dining area, cleaning up, and compiling program documentation. Additional duties may be assigned depending on site needs.

Desired qualifications: Interest in and aptitude for engaging with parents and children. Ability to provide excellent customer service. Interest in food security and nutritional topics a plus. Ability to adhere to detailed food handling and safety procedures. Bilingual skills highly desirable.

Scheduling: Must be available daily 10:00 a.m. to 1:30 p.m. Monday through Friday at minimum. Additional hours will be scheduled depending on site needs and meal delivery schedules.

 

Training & Consulting Team (TACT) Office Assistant

1 position available

Location: Eden Area Multi-Service Center: 24100 Amador St, Hayward 94544. Accessible by Hayward BART. Interns are eligible to use the free County shuttle. Paid lot on site.

Duties: Answer TACT main phone line and provide training information to SSA staff. Respond to email requests in TACT email repositories. Extensive data entry, scanning, and filing of documents and spreadsheets. Assist with a new LMS data transfer project. Process education expense claims, invoices, prepaid tuition, and employee reassignments. Scribe TACT monthly division meeting notes. Process work orders for services and supplies. Ensure training rooms are unlocked/locked and stocked daily.

Desired qualifications: Intermediate to advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint); time management; organization; detail-oriented; excellent communication; adaptability; professional attitude; reliable service delivery; team player. Some lifting will be required: stocking supplies, 15-20 lbs.

Scheduling: 37.5 hours per week, Monday-Friday. 8:45 am to 5:15 pm.

 

Veterans Service Office Clerical Assistant

1 position available

Location: Eastmont Town Center, 6955 Foothill Blvd, Suite 300 (3rd floor), Oakland 94605. Nearest BART is Coliseum BART then take AC Transit line 73, or interns may use free County shuttle. Free parking lot on site.

Duties: Working under the direction of the Veterans Service Officer, the Clerical Assistant will help with filing, scanning documents into a web-based software application (VetPro), and performing other clerical assignments. The intern will also provide support for a new lobby check-in process for veterans.

Desired qualifications: Basic computer & filing skills, able to learn quickly, comfortable working with the public.

Scheduling: 37.5 hours weekly, Monday through Friday, 8:30 am-5:00 pm.

 

Workforce Development Board (WDB) Office Assistant

1 position available

Location: Eden Area Multi-Service Center: 24100 Amador St, Hayward 94544. Accessible by Hayward BART. Interns are eligible to use the free County shuttle. Paid lot on site.

Duties: Data entry, materials/packet assembly for trainings and presentations, social media posting and marketing support, Internet research to support business/employer outreach, and flyer design/layout (depending on intern's skill set).

Desired qualifications: Ability to type 45 wpm. Basic to intermediate knowledge of Microsoft Office skills (Word, Excel, Publisher). Able to place materials in boxes, and move boxes using hand truck.

Scheduling:

  • 15 hours weekly (5 hours/day, 3 days/week): Tuesday, Wednesday, Thursday; 9:00 am - 2:30 pm with 30-minute lunch OR
  • 20 hours weekly (5 hours/day, 4 days/week): Monday through Thursday; 9:00 am - 2:30 pm with 30-minute lunch
